A login is not a Source File validation.
NSPA vendor guidance refers to legal residency, national eligibility, capability, financial standing and past performance. The registration route and the tender’s own conditions remain separate.
Start by checking the official vendor guidance , then record each submitted item and status. Registration does not create access to every competition or another NATO agency.

How to register in the NSPA Source File
The Source File is NSPA's vendor database. NSPA says registration in it is necessary to be invited to a solicitation and for a bid to be evaluated and considered for award, and the information it holds supports NSPA's source selection. The steps below follow NSPA's own pages; where a step depends on your country, the national authority has the final word.
- Find or request your NCAGE code. Search the NCAGE Code Request Tool first: each entity can hold only one active NCAGE code. The request route depends on where the company is established; US entities use the CAGE process.
- Submit the registration online. NSPA launched its Vendor E-Registration Tool on 25 June 2025 and now takes vendor registrations through it. Describe the company and the goods and services you actually supply.
- Expect a national eligibility check. NSPA's sourcing instruction provides that it asks the authority appointed by the company's country to confirm its eligibility status. Which authority that is, and how long it takes, varies by nation; your country's delegation to NATO or its defence ministry can point you to it.
- Let NSPA assess the profile. NSPA's vendor registration page bases eligibility on legal residency, national eligibility status, present capability, financial standing and past performance.
- Keep it current. Update contacts and capabilities when they change. Each solicitation still sets its own conditions, so read them before relying on the registration.

02 / Identity
Find the existing NCAGE record before creating another.
NCAGE means NATO Commercial and Government Entity. It identifies an organisation; it is not a certificate of capability or an award of supplier status. Search the official NCAGE Code Request Tool , check the legal name and address, then follow the update route when a record is wrong. US entities use the CAGE route; other entities should follow the relevant codification authority.
03 / Application evidence
Prepare the supplier file from facts you can substantiate.
Start at NSPA’s vendor page ; the ePortal contains several applications, not all of them supplier registration. Keep legal-entity details, accountable contacts, actual products, delivery capacity and requested capability, financial and past-performance evidence consistent. The NATO procurement portal guide places NSPA's system alongside those of NCIA, ACT and NATO HQ.

04 / Solicitation gate
Validation and bid eligibility are not interchangeable.
A notice may restrict countries, require declarations or ask for evidence and clearances. NCAGE and Source File status alone do not satisfy those conditions. Identify whether NSPA, a national authority or another named body handles each requirement; ask the official contact about a pending status before relying on it for a live deadline.
05 / Maintenance
Keep the Source File ready for the next opportunity.
Update contacts, capabilities and supporting information when they change. Name a primary owner and backup. For each RFP, use its submission method and retain the acknowledgement. 06 / Fees
Official registration and optional assistance are different.
NSPA Source File registration is free. NCAGE assignment and updates are also free under NATO policy. A consultant may charge for assistance, but that is not an official registration fee, faster validation or a guarantee. Verify unexpected payment requests with an independently obtained official contact.

Use a readiness check before you spend bid time.
- Identity: legal entity, NCAGE and application agree.
- Status: required registration is confirmed, not merely a login.
- Access: the responsible person can open documents and submission tools.
- Eligibility: country, capability and clearance conditions are checked.
- Timing: deadline, questions date and amendment owner are recorded.

FAQ
Is an NCAGE code the same thing as a CAGE code?
Both identify organisations in the NATO codification system. US-based entities use the US CAGE process; non-US entities should consult the NCAGE request tool and national codification guidance. The identifier is not NSPA supplier approval.
Do I need to be registered to see NSPA opportunities?
Public opportunity information and participation are different. Start with NSPA’s public opportunities page, then follow the solicitation access instructions. Seeing a notice does not establish that your account is validated or eligible to bid.
How long does NSPA registration take end to end?
Do not plan around one guaranteed duration. Identifier request, company validation and tender-specific eligibility are separate tasks. Keep references and ask the responsible official contact which documents remain outstanding.
Does registering with NSPA cost anything?
NSPA states that Source File registration is free, and NCAGE assignment and updates are free under NATO policy. Optional assistance is not an official fee or proof of preferential access.
Can my company register if my country is not a NATO member?
Sometimes. Partner-country access depends on the opportunity and agreements between the relevant government and the NATO Support and Procurement Organisation. Read each eligibility clause.
