The registration checklist
NSPA’s vendor guidance describes eligibility in terms of legal residency, national eligibility status, capability, financial standing and past performance. Registration in the Source File is required to participate in the agency’s solicitation process. Do not treat creating a login as completion of that process.
- Find and check the company’s existing NCAGE record, or follow the official request route.
- Prepare the company information and supporting evidence requested in the supplier application.
- Submit through NSPA’s official registration route and resolve any validation requests.
- Confirm your status and check the separate eligibility conditions of each solicitation.
Procurement is normally limited to firms located in NATO member nations; exceptions depend on the opportunity. Read how NSPA bid opportunities work before assuming that a supplier profile gives access to every notice.
Check your NCAGE record
NCAGE means NATO Commercial and Government Entity. It identifies an organisation; it is not a certificate of technical capability or an award of supplier status. Use the official NCAGE Code Request Tool to search before requesting a new record.
Check the legal name, address and record status against the company applying to NSPA. If the record is incorrect, use the official update process rather than creating a duplicate to bypass the problem. Follow the instructions for your country’s codification authority; US-based entities use the US CAGE route. Keep the request reference and the official confirmation with your registration records.
Prepare the supplier application
Start from NSPA’s vendor registration page and follow its link to the application. The ePortal provides access to several NSPA applications; not every account or application is a supplier registration.
Prepare consistent legal-entity details, an accountable company contact, a description of what you can supply and the evidence requested for capability, financial standing and past performance. Describe actual products, services and delivery capacity. Do not claim certifications or geographic reach you cannot substantiate.
As an internal preparation step, keep a register of each submitted document, its validity date and the person responsible for updates. This helps you answer a validation request without rebuilding the application from old email attachments.
Check eligibility and validation
Separate validation of the supplier profile from the conditions of an individual tender. The notice may restrict eligible countries or require particular evidence, declarations or clearances. An NCAGE code alone does not satisfy those conditions. Use the official instructions to identify whether NSPA, a national authority or another named body handles each requirement.
If an application is pending, send the reference and the unresolved question to the responsible official contact. Do not infer rejection from silence or assume that access to the portal means approval. Check the status before relying on it for a live deadline.
Keep the Source File current
Once NSPA confirms the relevant registration status, maintain the company profile when contacts, capabilities or supporting information change. Appoint a primary owner and a backup so that an invitation or request for clarification is not dependent on one unattended inbox. This is an operational recommendation, not a guarantee of invitations.
For each RFP, use the submission method and deadline stated in its instructions. Check access to the required documents and application before the final day, then retain the official submission acknowledgement. Registration does not replace these tender-specific checks or provide access to other NATO agencies.

Fees and optional assistance
NSPA Source File registration is free. NCAGE assignment and updates are also free under NATO policy. Use the official agency pages rather than a paid intermediary presented as a mandatory gateway.
A company may choose to buy advice or administrative assistance. That is a separate service, not an official registration charge, faster validation or a guarantee of eligibility. If you receive an unexpected invoice, verify it using an official contact obtained independently of the payment request.
Before your first response: a readiness check
- Identity: the legal entity, NCAGE record and supplier application are consistent.
- Status: you have confirmation of the required registration, not only login credentials.
- Access: the assigned person can open the relevant documents and submission application.
- Eligibility: the specific country, capability and clearance conditions have been checked.
- Timing: record the deadline and time zone, questions deadline and person checking amendments.

FAQ
Is an NCAGE code the same thing as a CAGE code?
Both identify organisations in the NATO codification system. US-based entities use the US CAGE process; non-US entities should consult the NCAGE request tool and their national codification guidance. Search for an existing record first and follow the update route where appropriate. The identifier is not an NSPA supplier approval.
Do I need to be registered to see NSPA opportunities?
Public opportunity information and participation are different. Start with NSPA’s public opportunities page, then follow the access instructions for the solicitation. NSPA requires Source File registration to participate in its solicitation process. Seeing a notice does not establish that your account is validated or that you are eligible to bid.
How long does NSPA registration take end to end?
Do not plan around a single guaranteed end-to-end duration. An identifier request, company validation and any tender-specific eligibility checks are separate tasks. Start early, keep each application reference and ask the responsible official contact which documents or approvals remain outstanding.
Does registering with NSPA cost anything?
NSPA states that Source File registration is free, and NCAGE assignment and updates are free under NATO policy. A consultant may charge for optional assistance, but that is not an official registration fee or proof of preferential access. Verify payment requests through the official agency contact.
Can my company register if my country is not a NATO member?
Sometimes. Companies from NATO member states are the default audience. Companies from partner nations can bid when the opportunity explicitly says so, which depends on agreements between their government and the NATO Support and Procurement Organisation. Other cases are handled individually: read the eligibility clause of each opportunity rather than assuming.
